Cloudymonkey Help Centre
Everything you need to know about the agent dashboard — search, quote, and send in under five minutes.
What is Cloudymonkey?
Cloudymonkey is a B2B quoting engine built for independent travel agents and boutique agencies. Instead of juggling five browser tabs — one for flights, one for hotels, one for transfers, spreadsheets for margins — you get everything in one white-labelled dashboard.
In a typical session you'll:
- Search for flights and/or hotels in a single combined search
- Add your preferred option to a quote with one click
- Apply a markup and save the quote to your account
- Send the client a branded Magic Link — they click straight through, no login needed
Quick Start — 5 minutes
1. Log in
Go to /login and enter your email address. A magic link lands in your inbox — click it and you're straight into the dashboard. No password required.
2. Search your first route
On the ✈️ Flights tab, type a city or country in the From field. The typeahead will show matching airports — select one, then do the same for To. Pick a date, set passenger count, and hit Search Flights.
3. Add to a quote
Results appear below the form. Find a flight you like and click + Quote. A quote builder slides in — enter your client's name, any notes, and your markup percentage. Click Save Quote.
4. Send to client
Go to the 🔗 Send Quote tab. Select the quote you just saved, enter your client's name and email, add a personal message, and click ✉️ Send Quote by Email. The client receives a branded email with a unique link that opens their quote directly — no login, no app download.
📲 Install Cloudymonkey as an app
Cloudymonkey installs on your phone, tablet or computer. It opens in its own window with no browser bar, and the icon sits with your other apps. You'll see a one-time prompt in the dashboard after you first sign in. You'll also find these steps in your welcome email.
iPhone and iPad
- Open cloudymonkey.com in Safari and sign in.
- Tap the Share button.
- Choose Add to Home Screen, then tap Add.
Android
- Open the dashboard in Chrome.
- Tap Install on the banner, or open the ⋮ menu and choose Install app.
Windows and Mac (Chrome or Edge)
- Click Install on the dashboard banner, or the install icon at the right of the address bar.
✈️ Searching flights
The Flights panel searches live inventory via the Duffel API across hundreds of airlines worldwide.
Step by step
- Make sure the ✈️ Flights checkbox is ticked (it is by default).
- In the From field, start typing a city, country, or airport name. A dropdown will appear — select the airport you want.
- Do the same for the To field.
- Choose One-way or Return using the toggle. For a return, a second date field appears.
- Set the number of adults, children (2–11 yrs), and cabin class.
- Click Search Flights.
Reading the results
Each flight card shows:
- Airline logo + name
- Departure and arrival times with airport codes
- Flight duration and number of stops (green = direct)
- Total price for all passengers (or per person if 1 adult)
- Est. margin at 15% — an indicative figure (15% of the supplier price) to help you plan your markup; your actual markup is set when you save the quote
- + Quote — adds to your quote builder
- ✈ Book — opens the booking form (passenger details required; sandbox mode unless live bookings are enabled)
Recent searches and search limits
- Recent searches — your last 6 flight searches appear as chips above the form on this device. Click one to run it again (past dates are skipped).
- Monthly live-search allowance — Freelance 200, Boutique 600, Corporate 2,000. A counter above the form shows how many you have left. Results served from the short-term cache (15 minutes for flights, 30 for hotels) don't count, and All-Inclusive searches don't use your allowance.
- Cabin and baggage — saved quotes, emails, PDFs and the client quote page show cabin class, stops, flight numbers and baggage options. Where an airline doesn't supply a carry-on weight, it shows "weight to be confirmed".
- Hotels and All-Inclusive — hotel destinations are matched using the flight destination where possible; if several places match, you'll be asked to confirm. All-Inclusive results are filtered by meal plan.
Compare, flexible dates and price alerts
- ⚖ Compare — tick Compare on 2–4 flight results, then click Compare in the tray to see them side by side.
- 📅 Flexible dates — after a search, shows a grid of fares either side of your dates, with the cheapest highlighted. Results are cached for 30 minutes.
- 🔔 Watch price — saves the route as a price alert. Alerts are checked every 12 hours and we email you when the fare drops. You can watch up to 10 routes at once.
- Multi-option quotes — save up to 3 quotes, pick one as the main quote and click + Add as option on up to 2 others. Your client gets one link with Good / Better / Best choices, ordered by price.
One-way vs return
Toggle between One-way and Return above the search grid. A return trip shows both outbound and inbound legs on each card. The price shown is the total for both legs combined.
🏨 Searching hotels
Hotels can be searched two ways:
Standalone hotel search. Great when a client already has their own flights or doesn't need flights quoting.
Tick both Flights and Hotels on the Flights tab. Hotel destination mirrors the flight "To" field automatically.
How the combined search works
When both Flights and Hotels are ticked on the main search panel:
- The hotel destination field is hidden — you only need to enter one destination.
- As you type in the flight To field, the hotel search destination updates in real-time.
- The hotel check-in date automatically pre-fills from your flight departure date.
- The search button label updates to match your ticked boxes (e.g. Search Flights & Hotels) and runs those searches together.
Hotel results
Each hotel card shows:
- Up to 3 property photos
- Hotel name, star rating, and guest review score
- Board type (e.g. Bed & Breakfast, Half Board, All Inclusive)
- Nightly rate and total for the stay
- + Add to Quote button to include in your quote
🌴 All-inclusive packages
The All-Inclusive checkbox searches resort-style accommodation and combines it with flight data to produce a full-package quote — flight + hotel + estimated airport transfer — in one view.
Describe the trip (brief box)
At the top of the package search, type a short brief such as family of 4, Mauritius, 7 nights, late July, £6k and press Fill form. It fills in the destination, check-in and check-out dates, guests and rooms, then shows what it understood. It recognises "family of 4", "2 adults 2 kids", "couple" and "honeymoon"; "7 nights", "2 weeks" and "fortnight"; and "early/mid/late" plus a month, or a date like "12 August" (early, mid and late become the 5th, 14th and 24th; with no length given it assumes 7 nights). It uses fixed phrase matching, not AI, so check what it filled in. The budget is shown as a reminder only and doesn't filter results. Nothing is searched until you press Search.
How to search
- Tick the 🌴 All-Inclusive checkbox on the Flights tab.
- If you also have Flights ticked, the resort destination field is hidden — the flight destination is used automatically.
- Set your check-in date, check-out date, number of guests, and rooms.
- Click the search button — its label follows your ticked boxes (e.g. Search Packages, or Search Flights & Hotels & Packages if all three are ticked).
What each package card shows
Up to 3 property photos at the top of the card.
Name, star rating, guest review score, and board type badge (e.g. "All Inclusive" in amber).
An Outbound row (and a Return row for return trips) with date, flight numbers, times, route codes, duration, stops and airline. Uses the cheapest matching flight from your search.
Estimated airport-to-hotel transfer cost (private car and shared shuttle range). Labelled as an estimate — real pricing via Transferz when integrated.
Flight + hotel per person if flights are included, hotel-only per person if searching packages alone, with an Est. margin at 15% figure alongside.
Adds the full package to your quote builder. The button turns green when selected.
Top three picks
When a search returns at least two priced resorts, three cards appear above the results: Best value (cheapest resort with a guest score of 7.5+, or the cheapest overall if none qualify), Top rated (highest guest score) and Premium (highest star rating). Each says why it was picked, and clicking one scrolls to that package ready for + Add to Quote. They use the results already fetched, so they cost no extra searches.
Location typeahead
All destination fields use a smart typeahead that works in two modes:
Airports appear first. Typing a country (e.g. "Spain") expands to show all Spanish airports. Typing a city (e.g. "Cancún") shows CUN and nearby airports.
Destinations (cities, resorts, regions) appear first. Nearby airports are listed below as reference — selecting an airport-style entry still sets the destination correctly.
Tips
- Type at least 2 characters to trigger the search
- Use arrow keys ↑↓ to navigate the dropdown, Enter to select
- Press Escape to close without selecting
- If a search field shows a label but no IATA code is set (the hidden field), the search will warn you to pick from the dropdown
- Country searches (e.g. "Greece", "Turkey") expand to all airports in that country
📋 Building and managing quotes
Adding a flight to a quote
- Run a flight search and find a result you like.
- Click + Quote on the flight card. The quote builder slides in below the results.
- Enter a client name (e.g. "The Smith Family"), any notes (these are shown to your client as a message on their quote link, so keep them client-friendly), and a markup % (defaults to 15; change it to suit, e.g. 12 for 12%).
- Click Save Quote. The quote is saved to your account and appears in the 📋 Quotes tab.
Adding a hotel or package to a quote
On hotel and all-inclusive package cards, click + Add to Quote. The button turns green ("✓ Selected") to confirm. The item is included when you next save a quote from the quote builder.
Viewing saved quotes
Go to the 📋 Quotes tab. Each saved quote shows:
- Client name and route
- Price with your markup applied
- Airline and date saved
- Any notes you added
- A Send by Magic Link button
🔗 Magic Link — send a quote to your client
Magic Link lets you email a beautifully formatted, branded quote to your client. They click a unique link and see their quote instantly — no login, no app, no faff.
How to send
- Go to the 🔗 Send Quote tab.
- In 1. Select a saved quote, click the quote you want to send. It highlights in amber when selected.
- In 2. Client details, enter the client's full name and email address. Add a personal message if you like (e.g. "Hi Jane, here's the quote we discussed for your anniversary trip to Rhodes").
- Click ✉️ Send Quote by Email.
- The client receives a branded email from Cloudymonkey with their personalised quote link.
Tracking opens
The 3. Sent links section lists every link you've sent and when. Open counts are not tracked yet, so follow up with clients directly.
Sending from your own domain
On the 👥 Team tab (Boutique and Corporate plans), agency admins can connect a Resend API key and a verified sending address. This routes all quote emails from your own domain (e.g. quotes@youragency.co.uk) instead of Cloudymonkey's address.
🧠 Pricing Intelligence
Available on Boutique and Corporate plans. The Margin Analyser tells you what markup to apply on any route so you stay competitive without underselling.
How to use the Margin Analyser
- Enter the origin and destination airport codes (e.g. LHR, CUN).
- Enter the base fare in GBP (the price you sourced from the search results).
- Select the travel date, cabin class, and number of passengers.
- Click ⚡ Analyse Margin.
- The result panel shows: recommended margin %, demand signal, elasticity score, and your suggested client-facing price.
Understanding the output
The % to add on top of base fare. Higher demand = you can charge more without losing the booking.
How price-sensitive this route's travellers are. Low elasticity = clients will pay a premium.
Current demand level — High, Medium, or Low — based on lead time, season, and route popularity.
The recommended client-facing price with margin already applied. Copy straight into your quote.
📰 Travel Industry News
Available on the Corporate plan. A curated feed from 6 leading travel industry sources, refreshed automatically every 2 hours.

Travel Weekly UK · TTG Media · Travel Mole · ABTA · Skift · Travel Weekly US
Using the news feed
- Filter by source — click any source button to see only articles from that outlet
- Search — type in the search box to filter by keyword across all headlines and descriptions
- Refresh — click the Refresh button to trigger an immediate live fetch from all RSS feeds
- Each card links directly to the full article on the source's website
📬 Quote tracking & client acceptance
Every quote you send with Magic Link appears in the sent list with a live status, so you know who to chase.
Statuses
- Awaiting — sent, not yet opened
- Viewed — your client has opened the link (the Opens column counts each visit)
- Accepted — your client pressed Accept this quote. Nothing is charged; it simply tells you they want to go ahead
- Expired — more than 48 hours old and not accepted. A Follow up prompt shows for 14 days
Follow up today
At the top of the Insights tab, a Follow up today panel lists up to five clients who have opened a quote at least twice but haven't accepted or paid a deposit, for quotes sent in the last 30 days. Each row reads like "Sarah opened your quote 3 times · sent 2 days ago" with an Email link, most-opened first. The panel is hidden when nothing qualifies.
Deposits
Add a deposit request (percentage or fixed amount, with your own payment link or bank details) when sending. Payment goes directly to you. Tick Mark received once it lands.
Groups, extras and options
Set a group size to show a per-person price, add extras (per person or flat), and send up to two options on one link. If your client chooses between options, the option they accepted is recorded.
Quote templates
In the quote builder, fill in the trip label, markup % and notes, then press Save as template. Pick a template from Load a template to reuse it, or press Delete to remove it. Templates are saved to your account, so they appear on any device you sign in on. Templates saved earlier in a browser are copied to your account the next time you open the dashboard.
Trip summary
The Trip summary / notes box is shown to your client above the quote. Press Draft summary from this trip to generate a starting paragraph from the selected flight and hotel (a template, not a live AI), then edit it however you like before sending.
Price-drop check on sent quotes
Once a day, Cloudymonkey re-checks the cheapest flight for quotes sent in the last 21 days that haven't been accepted (same route, dates, passengers and cabin). If it's at least 3% below the price you quoted, you get one email per quote. Your client's price never changes automatically. The email has a Send revised quote button: it opens your dashboard and asks you to confirm (for example "£2,140 → £2,050, your markup is kept"). On confirm, your client gets an email with the old price struck through and the new total, and the quote link updates. The new total is (new flight + hotel) × your markup + extras; your client never sees the supplier fare or your markup. The quote is only changed after the email sends. It can't revise quotes that are accepted, have a deposit, are on hold, or have multiple options, and it asks you to re-run the search if the lower fare was checked more than 3 days ago. The fare is indicative, so check availability before your client books. If a fare has risen when your client presses Accept, they see a warning and you're emailed if it rose by 3% or more. Hotel prices aren't checked, and quotes saved before this feature don't carry passenger details, so they are skipped.
Error Fares
On the 🚨 Error Fares tab, add the routes you want watched. Every 6 hours we check return fares about 3, 8 and 17 weeks ahead and email you when one is 40% or more below the usual price. A flag is only a possible mistake: it may be a sale or an odd routing, and airlines can cancel real errors. Re-check availability before you quote a client.
Platform fees
When an order is booked, a fee of £2.20 plus 1% of the net price is recorded, plus £1.45 for each paid extra (such as baggage or seats). Fees are agent-side only: clients never see them and they are not added to quote prices. Quote cards show the fee and your margin after the fee. The Insights tab lists each fee with a status (Not invoiced, Invoiced, Paid, Settled), totals for this month and all time, and a CSV download.
Commission tracker
On the Insights tab (Commission & reminders), enter your default commission rate for flights and for hotels/resorts. These defaults are saved to your account, so they follow you to any device. When you send a quote, the Expected commission (private) box starts from your defaults and you can change it for that quote. The rates are saved with the quote and are never shown to your client. Insights multiplies each quote's rates by its supplier cost to show expected commission this month and overall, plus margin and commission combined. These are estimates, not money received. Quotes sent before this feature use your current default rates.
Follow-up reminder email
Each day at 10:00 UTC, Cloudymonkey emails you a list of quotes that were sent 48 hours to 14 days ago and haven't been accepted. It shows each client, the quote, and whether they've opened it. Each quote appears in one reminder only. The email goes to you, not to your client. To switch it off, untick Email me a daily reminder… on the Insights tab.
Search loading videos
While a search runs, a short clip plays: the flight/hotel clip for flights and hotels, and a dedicated clip for All-Inclusive. Use Skip to see results immediately.
👥 Team management
Available on Boutique (up to 5 agents) and Corporate (up to 20 agents) plans.
Inviting an agent
- Go to the 👥 Team tab.
- Enter the agent's email address and select their role — Agent or Admin.
- Click + Invite. The agent is added to your team list with an Invited status and counts towards your seat limit. They are emailed a link to /login and must sign in with that same email address.
Roles
Can search, quote, and send Magic Links. Cannot invite other agents or change email settings.
Full access including inviting agents, removing members, and configuring email settings.
Email settings
Admins can upload an agency logo and connect a Resend API key with a verified sending address. This makes all quote emails come from your own domain. To connect:
- Create a free account at resend.com.
- Verify your sending domain in Resend.
- Copy your Resend API key.
- Paste it into the Resend API Key field in Email Settings and enter your verified sender address.
- Click Save Settings.
API access
Use the API Keys tab in the dashboard to let your own booking tool, website or spreadsheet call Cloudymonkey search and pricing data directly.
- Create a key: enter a label and press Create. The full key is shown once with a Copy button. Only a secure hash is stored, so it can't be recovered later; if you lose it, revoke it and create a new one.
- Use it: send the key in an
x-api-keyheader with each request. - Daily limits: 500 requests a day on Freelance, 2,000 on Boutique Agency and 10,000 on Corporate Organiser. Counts reset at midnight UTC.
- Per-minute limits: each key can make 20 requests a minute on Freelance, 60 on Boutique Agency and 120 on Corporate Organiser. Over the limit, the API returns 429 with a
Retry-Afterheader; wait a minute and retry. - Domain and IP restrictions: limit a key to your website domains and server IPs from the API Keys tab. Requests from anywhere else are refused with a 403. A key used from five or more different IPs in an hour is flagged for review.
- Limits per account: up to five active keys. Each key shows its prefix, usage today and total usage.
- Revoke: press Revoke on a key and it is refused immediately.
Keep keys private and never put them in public web pages.

Frequently asked questions
Yes. The 🔗 Send Quote tab shows every quote you've sent, when it went out and how many times your client has opened it.
Anyone with the full link. Each link contains a private, unguessable ID and opens only that one quote. There is no public list of quotes, so clients cannot see anyone else's. Share the link only with the person it's meant for. Quotes you saved with hotels before photos were added show no photos, so re-save and re-send them to include photos.
Cloudymonkey searches live availability through the Duffel API. Prices vary in real-time based on availability, booking class, and the time of the API call. Minor differences from other sites are normal — always quote from the most recent search rather than a saved screen grab.
The Magic Link shows your client a read-only view of their quote. Booking is handled by you through the dashboard. This keeps you in control of the transaction and your client relationship.
No. The ✈ Book button on flight cards places a sandbox order via Duffel's test environment. No real ticket is issued and no money changes hands. Contact your Cloudymonkey account manager to enable live bookings once you're ready.
Try a different spelling (e.g. "Tenerife" instead of "Canaries"), or enter the IATA code directly (e.g. "TFS"). The search requires at least 2 characters. If the service is temporarily unavailable, the dropdown will say "Search unavailable" — try again in a moment.
Transfer estimates use regional industry rates (£6–£11 per km depending on destination) for a private return car transfer. Shared shuttle rates are shown as a range at roughly 45–65% of the private price. All figures are labelled Estimate — they are a guide for client conversations, not live booking prices. Maldives trips show a speedboat estimate.
Yes — visit the Pricing page to view plan options, then go to your account's billing settings to upgrade or downgrade. Changes take effect at the next billing cycle.
First, make sure you selected both airports from the dropdown (the hidden IATA code must be set — typing a name and not selecting a result won't work). If the error persists, check your internet connection and try again. Persistent errors should be reported to support.
